Data Protection Complaint Procedure

If you believe that we have gathered or used your personal data inappropriately (i.e., in breach of the UK GDPR or Part III of the Data Protection Act 2018), s.103 of the Data (Use and Access) Act 2025 enables you to make a complaint to us.

To do this, you should write to the Data Protection Officer at the address below, giving details of the issue(s) you wish to complain about, and providing as much evidence or supporting information as you are able to.

The Union’s Data Protection Officer or, in their absence, the General Secretary, will determine who is best placed to investigate the complaint.

In line with the statutory obligation, we:

  • > will acknowledge your complaint within 30 days, letting you know who will be conducting the investigation;
  • > will keep you informed at least every 4 weeks of the progress of the investigation; and
  • > will advise you of the findings when the investigation has concluded.

To ensure that your data remains properly protected, we may need you to provide proof of ID; and if you appoint someone else to deal with your complaint on your behalf, you/they will need to provide appropriate proof of their authority to do so.

Without affecting the statutory right above, we would encourage any member with a query about how their data has been gathered or used to contact us to seek to address those concerns at the earliest opportunity.
